Editing School Assignments for Personnel

School personnel are assigned to schools when you add them. However, with the default capabilities, school network administrators and school network staff can change the schools that personnel are assigned to, and school administrators can either assign personnel to their schools or remove them (un-assign them).

Who can do this with default capabilities?

If you are a school administrator and you are assigned to more than one school, on the Home page, select your name and choose Change Role to choose the school you want to work with before following these steps.

  1. On the Home page, click Users.
  2. Click View Personnel.
    • To retrieve a list of all personnel, do not enter any search criteria and skip to step 4. (If you are a school administrator, this only finds personnel in your school.)
    • Type the person's first and/or last name in the appropriate blank fields. You do not need to type the entire name if you are not sure how it is spelled; the software can perform partial matches.
    • School network personnel have more search options:
      • You can select the person's school for this search from the School drop-down list.
      • If you want your search to include personnel who are not assigned to any school or the school network and personnel who were deleted but not permanently removed, tick the Show Deactivated/Un-assigned Personnel Records box. If you select a person whose record is inactive, you cannot assign that person to a school until you reactivate his or her record.

    If you are a school administrator, you can only search for personnel in your own school. If you check the Show Deactivated/Un-Assigned Personnel Records box, only personnel who were previously assigned to your school will be found.

  3. Click Search.
  4. The personnel who matched your search will be listed. Click Select next to the person's name. (If the list is long, you may need to click Next >> and << Previous to move forward and back through the list.)
  5. The View Personnel page will open, showing you more information about the person you selected. Follow the steps that apply to your position:
    1. Click Edit School Assignments on the View Personnel page.
    2. When the Edit School Assignment page opens, the person's current school(s) will be listed on the top of the page. If you want to remove the person from a school, click Un-Assign in the row for the school. You can also change the person's position at the school by choosing a different position from the drop-down list. The position that you choose determines which tasks the person can perform in the software.
    3. Personnel who are not assigned to any school or the school network are inactive. Inactive personnel will not appear in future search results unless you choose to include inactive/un-assigned personnel.

    4. If you want to assign this person to another school, find the school in the list below the buttons on the page. When you find the school, click Assign in the row for that school. The school will be added to the list at the top of the page. Be sure to use the Position drop-down list to choose the person's position in this school.
    5. When you have finished changing the person's school assignments, click Save. If you decide not to save your changes, click Cancel instead.

    To remove the person from your school, click Un-Assign from School. Then, click OK to confirm that you want to do this.

    To assign an inactive or unassigned person to your school, click Reactivate Personnel Record.

    Personnel who are not assigned to any school or the school network will not appear in future search results unless you choose to include deactivated/un-assigned personnel.
